Your league is a business: a 30-minute financial health check

Most rec leagues start as a labor of love: someone books a gym, collects e-transfers, and hopes it roughly nets out. That's a fine way to start and a risky way to continue. Whether your league is a side hustle or the beginning of something bigger, it has revenue, costs, and trends, and knowing five numbers will tell you more than a year of gut feel.

The five numbers

  • Revenue per player. Total collected ÷ total players. This is your price reality, whatever the flyer says: discounts, comps, and unpaid balances all show up here.
  • Facility cost per game night. Your biggest expense, per unit of product. If a Tuesday costs $240 in court time and hosts 18 games, that's $13 a game, a number you can actually manage against.
  • Collection rate. Collected ÷ owed. Anything under ~95% means real money is leaking, and it's almost always a process problem (nobody likes chasing) rather than a player problem.
  • Retention rate. Returning players ÷ last season's players. Acquiring a new player costs flyers, posts, and time; keeping one costs a good experience. This is the growth number that matters most.
  • Net per season. What's actually left after courts, refs, insurance, and equipment. Not to get rich, so you know whether the league can absorb a rent increase, fund better equipment, or pay you back for your evenings.

What healthy looks like

A healthy rec league typically nets 20–40% of revenue, retains 70%+ of players season over season, and collects nearly everything it's owed before week one. If your numbers are off those marks, the fix is usually structural: collect at registration (not week 4), price the real facility cost in, and give players enough of an experience, standings, stats, a real league site, that re-registering is automatic.
